Hiring a tech vs outsourcing, a cost breakdown

If you’ve realized you need additional IT support for your business but are on the fence about which route to take, hiring IT staff or outsourcing your needs to an IT service provider the choice can be difficult.

Many of our clients reach us because they have been using an unreliable IT support service, their existing IT staff left, or sometimes because they’ve somehow gotten by with no IT at all but realize that needs to change.

We also frequently have clients who are utilizing a person in their office who is “tech savvy” but is not IT, it can be quite expensive to hire an IT professional with the experience needed to perform the variety of duties needed work on items such as cybersecurity improvements, hardware upgrades, software deployments and more.

Here are some benefits of hiring in house IT staff:

    1. They’re already at your office so there’s no waiting for IT support to show up.
    2. They will be well versed on your systems since in many cases they will be the one who set them up in the first place.
    3. They should be pre-emptively taking care of updates that will keep your business more secure.

On the other hand, here are the benefits of outsourcing your IT:

    1. The cost is usually much lower than hiring personnel.
    2. You get many experts for one price, no matter how well versed your IT person is they can’t be an expert in everything.
    3. You get software tools that may be otherwise unavailable to a single business or not cost effective to purchase.
    4. Round the clock service and monitoring, many IT service providers including us offer 24/7 support.
    5. You will have an agreement with them that spells out the level of service you’re supposed to receive.

It’s a difficult choice and only you know whether your business would greatly benefit from having in-house staff or whether outsourcing your IT is your best option. As you weigh your options we created this chart with the average baseline cost for an in-house IT person vs. an IT service plan with us.

However, as we mentioned many of our clients are utilizing an in-house resource already, these tech savvy staff are usually performing the day-to-day activities such as patching and password resets but may be missing crucial items such as cybersecurity prevention or maintaining (or even starting) backups.

For clients like these we recommend our co-managed plan option. With our co-managed plan we work directly with the staff already performing your IT duties, if there’s an issue they call us directly and we pass on a cost savings to you.

We do that because usually by working with a staff member that already knows your systems we can bypass a lot of the early troubleshooting that occurs, and that staff member usually still handles minor day to day tech related activities.

If you would like to learn more about our co-managed plan options just reach out today for a consultation.

  • 10 ways to get the most out of your outsourced IT

10 ways to get the most out of your outsourced IT

Whether you currently have an outsourced IT resource or you’re considering one (which by the way Valley Techlogic can help with that), you may be wondering how to make the most of the service you’re paying for.

First let’s describe what we mean by outsourced IT, any personnel resource that’s not directly hired by your organization is outsourced, and with IT specifically there are providers that will provide you access to their entire team for a singular fee (which is often times lower than the cost of hiring one full time person would be).

Another example is you do have in-house IT personnel, but they’re overwhelmed and unable to keep up with he demand of your organization, or there are projects that fall outside their scope of expertise. In either of these cases, it can make sense to contract with an IT provider to fill in the gaps.

A third scenario is you have regulatory factors within your business sector and need specialized support to meet those requirements. It can be cost prohibitive as a singular organization to acquire the protections needed but an IT provider is able to share that cost across many clients, which in turn lessens the cost for you and provides the other benefits of outsourced IT as an added bonus.

There may be a misconception that “outsourced” always means “outside the US”, at Valley Techlogic our technicians are local and able to assist our clients onsite as needed on top of providing remote support. It’s a good idea to ask that question of your provider, especially if they will be handling all of your IT.

Now that we’ve covered what it means to outsource your IT, here are ten ways to make the most of the services you’re paying for:

    1. Reducing redundancy. You may have redundant IT services you’re paying for, we can identify those services and remove them.
    2. Increased cybersecurity protection. To sum a complicated topic up simply, outsourcing your IT to a provider like Valley Techlogic means you will probably have access to advanced cybersecurity solutions that you may not have otherwise had access to.
    3. Backup for your backups. You hopefully already have a backup plan in place (if you don’t we can help with that too) but are you always sure it’s running appropriately? Part of our daily quality assurance checks is making sure all of our client’s backups are performing optimally.
    4. More time for your existing IT personnel. If you already have IT personnel, they may be swamped just with your day-to-day tasks, if you outsource your IT you can lessen the load so they can focus on business forward activities.
    5. Less time spent down. Downtime is expensive for businesses, your outsourced IT resource should be focusing on eliminating as much downtime as possible due to outages, hardware malfunctions, etc.
    6. Procurement assistance included. Procuring hardware has been more difficult lately due to chip shortages and other delays, our resources for procurement become your resources and we can help you source the equipment you need at possibly a better value.
    7. 24/7 support. Even if you have existing IT staff it’s not realistic to expect them to be on call 24/7, with Valley Techlogic we have a team of technicians, and someone is always available to take your call.
    8. Bring it all under one umbrella. Similar to number one, we can bring all of your IT spending under one umbrella. This includes your Microsoft spending because we’re a dedicated Microsoft partner.
    9. Expert advice. We don’t just provide expert services; we also provide expert advice to our clients on improving their technology and efficiency.
    10. Increased consistency. We usually find with new clients that there’s a lot to do in the beginning, but as we onboard our software and tools and regulate tasks such as performing updates and backup maintenance, the technology process becomes more consistent and reliable for them going forward as a result.

If you’ve never outsourced your IT before, or have and it didn’t go well you may be wary about trying again with another provider. We value creating a smooth transition to our services for our customers, but we also know sometimes you just need to try something out before committing to it.

That’s why we’re offering 2 hours of service free to qualified businesses. Here’s a list of ideas for what we could tackle 2 hours on the table, we’re confident our technicians could complete any one of these tasks for you in 2 hours.

  • Your IT Guy Quit, Now What?

Your IT Guy Quit, Now What?

Your relationship with your IT person can be a somewhat fragile dichotomy, sure you’re friendly with them and they’re probably a great person (you chose/hired them after all).

But for many small business owners they couldn’t really tell you what this person does beyond making the computers “work”. You hired them for their skills and those skills should exist outside the realm of what you could manage for your own IT (though many owners try).

So, if they quit, you’re suddenly in the lurch. You have all these systems that were being maintained by one individual that are now in limbo as you try to figure out what to do next, perhaps even trying to entice them to come back.

For any new person you bring on, the relics of your old IT person may haunt them for them for the entirety of their tenure with you. When you’re just one person trying to manage many systems and users, documenting as you go can feel like a lost cause – especially during the busy times.

That’s also supposing the split was amicable. If it was not, the damage can be difficult to recover from. We always recommend business owners maintain access to their own systems and never let themselves be completely cut off from the admin side of things no matter how capable your IT person is. Recovering those accounts can be difficult to impossible depending on the system in question.

That leads us to our list of the top 4 things you should do as soon as your IT person quits.

First 4 things to do when your IT person quits

As we say in our infographic, leaving the entirety of your technology support to one person can be a dicey proposition. That’s where our co-managed solution comes in.

In a co-managed scenario, you keep your IT guy, and we work with him to offload some of the tasks that may be bogging him down day to day. We also will bring our tools that we have honed and perfected across nearly two decades in the business to improve your processes.

This includes better documentation, better reporting, and just overall better transparency so you as a business owner can have a bird’s eye view into this process that is so important to the continued success of your business.

The added bonus to lightening their load is that they can then focus on activities that will move your business forward, such as projects that had been on hold because there just wasn’t time or activities that can actually grow your business.

For example, they can address aging hardware issues that there just hasn’t been time for in the past that are holding your business back and representing a cybersecurity threat. We can even help with sourcing. Technology is a necessary component in the success of any business no matter what category or size – if yours is stuck in the past it’s going to curtail your efforts to grow your business.

If your IT person just quit and you’re thinking you would rather have a competent IT team managing your technology, we have a plan for that as well. Our managed IT department plan is all encompassing and includes all of the support you will need, 24/7. You can learn more by taking a quick consultation with us here.

  • On the Fence About Outsourced IT? Here are the Top 5 Reasons to Consider it.

On the Fence About Outsourced IT? Here are the Top 5 Reasons to Consider it.

Now as a provider of outsourced IT we’re considerably biased, but we also know the value outsourcing some or all of your IT can provide to your business. We wanted to touch on the top reasons you should consider utilizing outsourced IT in your business.

First though we would be remiss if we didn’t go over the variety of outsourced IT available on the market. From a single person who helps on a contractor like basis to full scale operations that are the same as having an entire IT department, the differences in what’s out there is vast and there’s something available for every business.

To decide on what variety is right for you, you need to consider what your businesses needs are. Do you already have an IT team and just need some additional assistance with routine tasks hamstringing your business currently? Are you utilizing the “a wish and a prayer” model by having no IT at all? NOT a good idea by the way.

We developed this chart to help businesses figure out what kind and what level of outsourcing they may need.

    When to Outsource Chart

In addition to our chart here are 5 examples of how outsourced IT can bring your business to the next level.

    1. Is the cabling in your office currently a nightmare? Do you walk into the server closet and find yourself wondering if it’s up to code or perhaps even a fire hazard? This is one project no one wants to tackle but once it’s done, you’ll wonder how you went so long without it.
    2. Your IT team is great, but they’re so bogged down with the day to day minutia they don’t have time to bring your business to the next level. Do you have upgrades that have been on the back burner forever? Or perhaps they just don’t have time to maintain your backups as well as you would like. Outsourced IT can fill in the gap and give you the footing you need expand your business.
    3. Remote IT, setting this up right can feel like an impossible task. Maybe your workers are regularly stuck unable to do their job due to login issues, or you just aren’t sure how to approach the topic of cyber security with your employees working from home. Outsourced IT can be the extra hands you need to get it going right.
    4. Perhaps you’ve been telling yourself, who needs IT? You’ve gotten by this far without it. We’re sorry to say, that’s just luck, and you don’t want to hang your business on continuing to stay lucky.
    5. Training new IT staff is difficult and expensive, with an experienced IT provider you don’t need to worry about that and can instead focus on your core business.

This is in no way an exhaustive list of all the ways we think outsourcing IT could be a smart choice for your business. One thing we do want to mention is to vet the company you choose to outsource to carefully, you’re trusting them with your data and network after all.

Choose a company with good reviews and references and one that guarantees the work they do. Also, if you’re thinking about switching IT providers it’s okay to vet the new company before letting the old one know you’ll be moving on.
